We are a ‘Not for Profit’ organisation, with any funds raised through the management of the markets being used for charitable purposes.
We have completed an annual permit application for Sutherland Shire Council giving the Rotary Club of Caringbah the site responsibility for Engadine Community Markets.
Engadine Community Market is located in the Engadine Town Square (1042 Old Princess Highway Engadine).
Engadine Community Market takes place on the first Sunday of the month, with an additional Christmas Market on the 3rd Sunday of December (12 markets per year). The trading hours are from 8am to 1pm. The market entry from Caldarra Ave will be opened at 6.00am (7.00am in the winter months, June, July and August) on market days. Vehicles can be brought onto the site but must be removed by 8am. Trading finishes at 1pm. Stallholders must be out by 2.00pm. No markets are held in January.

The Safety Management System outlined below defines the policies and procedures that the Engadine Community Markets Committee implements to insure a safe environment for the public and stallholders.
· Stalls are not to exceed a 3m x 3m site space.
· Every stallholder must ensure that all infrastructure including, but not limited to, gazebos, umbrellas, clothes racks, tables and stock is adequately secured to prevent injury to members of the public and fellow stallholders. This applies regardless of weather conditions.
· Stallholders must confine their activities within the boundaries of their sites and no merchandise shall protrude into the footways or public areas or onto adjacent stalls.
· Traffic flows in a one-way direction only.
· Entrance is from the Caldarra Avenue entrance beside Moran Engadine. Stallholders are to queue on the side of the road where the entrance is located. No queuing or turning in from the opposite side of Caldarra Avenue. Traffic must flow through to the Old Princes Highway exit. Bollards will be removed at bump-in and bump-out times only.
· Whenever vehicles are within the market area the following rules must be obeyed:
o All vehicles must have their headlights activated before sunrise and in all conditions of reduced visibility.
o All vehicles must have their hazard lights on when entering or exiting the Town Square.
o Vehicles must not exceed 5 km/hr in the market area.
o Pedestrians have absolute right of way in the market area.
o Vehicles must not reverse without assistance from a person outside the car (spotter).
Set-Up/Pack Up
· Set up is from 6am to 8am, after which time, no cars will be permitted to enter the market. In the winter months of June, July and August set up time will begin at 7am.
· Parking is available on the surrounding streets on Sundays. Please consider not parking along Old Princes Highway.
· All cars have to be removed by 8am at which time the bollards are erected, and no further traffic movement is allowed within the square.
· The market closes at 1pm at which time all stallholders are required to pack up their stall completely priorto bringing their car in. All stallholders must drive their vehicles off site as quickly as possible. Pack up time is allocated from 1 to 2pm. All stallholders MUST be out of the area by 2.00pm.
· The only approved movement of vehicles on the site during market operating hours is Emergency Services. In this event, the Rotary Market Manager will co-ordinate.
· Engadine Community Market operates in rain, hail or shine obviously influenced by safety issues. The decision to close the Market lies with the Rotary Club of Caringbah Market Committee taking into account current and forecast weather conditions.
· A minimum number of 20 stalls is needed for the market to operate.
· If possible, a decision will be made on Saturday by 6pm and posted on the Engadine Community Markets Facebook page. Wet weather may cause cancellation of our markets on the day.
· In this event that Rotary cancels the market then all fees paid by stallholders will be rolled over to the following month.
· In the first instance, the Rotary Market Manager resolves any disputes raised on Market Day. The decision of the Market Manager is final on that day.
· If a stallholder believes that decision was incorrect, they may then take the dispute to the Rotary Club of Caringbah Market Committee.
An incident is a local event, accidental or deliberate, which results in or may result in damage to property or injury to people. This may be a ‘near miss’ or an event which has the capacity to damage property or hurt someone. Incidents may include theft and other loss of property.
The effective operation of the Market relies on stallholders reporting any incidents they see.
Stallholders must report any incident that involves other stallholders or members of the public and where Council infrastructure is involved. Reportable incidents also include where a person is injured, where there is an incident that could have resulted in hospitalisation or death, or where there is significant property loss or damage.
To report an incident, stallholders should contact the Market Manager or in their absence then a Rotarian.
First Aid Defibrillator
A first aid kit will be available in the Rotary Manager’s gazebo. A Rotary Defibrillator is stored in the Cafe Lorenzini located directly adjacent to the markets. An ambulance will be called in the event of an emergency. It is expected that St John’s Ambulance members will be in attendance at each market.
If an evacuation of part or all of the Market becomes necessary, this will be controlled by the Rotary Market Manager until emergency services arrive. Please obey the directions of Rotary management staff. Rotary staff are readily identifiable by their yellow or orange high visibility vests.
If you become aware of an event that poses a risk of harm to individuals or property, please follow this procedure in the first instance. Everyone working at every stall should be aware of this procedure. The key to an effective response is speed, so please follow these steps as quickly as is safe. This is particularly true in the case of fire.
1. Remove yourself and others from danger.
2. Alert the Rotary Market Manager
a. Call triple zero (000) immediately If there is an injury that requires it, a fire or in any another situation where you would normally call an ambulance, the fire brigade or police.
b. If you have called triple zero (000) the Rotary Market Manager will have to provide access for emergency services.
c. Quickly advise the Rotary Market Manager on duty.
3. Contain the incident if it is safe to do so and you know what to do.
a. Prevent others from entering an area of danger.
b. The surrounding cafes have fire extinguishers available.
c. If possible, move flammable goods and infrastructure away from the source of a fire.
d. Advise St John’s Ambulance if first aid is required.
4. Await instructions from the Market Manager, Rotarian staff on duty or the emergency services personnel.
· Rotary may direct an evacuation of part or all of the market in the event of an emergency. If this happens, please remain calm and move quickly via indicated paths to the safe assembly point located outside the pharmacy corner of Old Princes Highway and Waratah Road.
· When at the assembly point please approach the Rotary staff (identifiable by their high visibility vest) and inform them of your stall name, stall number and whether you are aware of anyone remaining within the Market (e.g. staff, family). Do not attempt to re-enter the market area until the all-clear is given.
· You should not attempt to pack up or take your possessions when evacuating the market unless instructed to do so. Property is easy to replace, life is not. It is important to vacate the markets quickly and safely in the event of an emergency.
· Always listen to and follow instructions from emergency services and Rotarians. Their priority is the safety of everyone, and they are in contact with the incident coordinator. Emergency service personnel outrank all staff and will take control of the situation when they arrive.
· Please exercise due caution when crossing roads in the course of evacuation.
· Members of the public should disperse into surrounding areas by indicated safe paths. They should take due care crossing roads.
· Rotary staff will provide assistance to people with limited mobility or who otherwise require assistance to evacuate. If you feel comfortable doing so, please also provide assistance where possible.
The Rotary Club of Caringbah Market Committee has zero tolerance towards bullying or harassment. Any stallholder found to be conducting business in a nature that is deemed to be oppressive or harassing in any way will be dealt with swiftly. Rotarians are all volunteers and should be treated with respect at all times.
All stallholders are required to hold valid Public Liability Insurance (PLI) with a minimum $10m coverage.

Stallholders cannot operate a stall at the Engadine Community Market without current PLI as detailed above.
Stallholders should only sell the quality products that were originally agreed upon. If you wish to increase your product range, you will need to notify the Rotary Market Manager to ensure this does not compete unfairly with another stall offering similar goods.
Failure to notify the Market Manager will jeopardise your stall placement at the Engadine Community Markets.
Stall Allocation
As far as possible permanent stallholders will retain their position in our markets. There is no fee involved in acquiring a permanent space.
· Permanent stallholders are by invitation only and will be offered a discounted rate to Casual stallholders. The condition being that they attend all of the 12 markets for 2024. We do not have a refund policy, but we are mindful that some permanent stallholders may need to be absent at times for personal reasons. Rotary is happy to discuss a no penalty situation with a minimum of 1 months’ notice. The cost for permanent stallholders will remain at $50 per market, paid quarterly in advance, and Rotary will ensure that you keep the same site number.
· The cost for casual stallholders is $60 per site paid monthly prior to the market they wish to attend. Casual Stallholders will be allocated a site when bumping-in.

· Cash on the market day is NOT accepted.
· For Not-for-Profit organisations the cost of stall is negotiated with the Market Manager.
· Rotary has a no refund policy.
Your direct deposit transfer will be your receipt of payment.
· All permanent stallholders are required to give a minimum of 1 months’ notice of planned absence, i.e. holiday, family event. This ensures a replacement can be sought in time to avoid gaps and maintain the market service to the public. Sufficient notice ensures your fee is rolled over to the next market.
· Unplanned absence should be notified ASAP prior to the market e.g. illness.
· Rotary has a no refund policy.
· All stall holders MUST remove their garbage offsite for disposal.
· Rubbish bins at the market are for the use of pedestrians and visitors to the markets.
· Bins are not for the use of stallholders.
· Food vendors must take their food scraps with them.
· Your payment of the stall signifies your total agreement to adhere to all the Terms and Conditions referred to above. Failure to comply may result in your exclusion of the market going forward.
